Resetting The Next Assigned Number For Documents

Kahua provides the ability to change the number assigned to new documents.  There are two scenarios to be considered when changing the seed number:

  1. Apps with no records
  2. Apps with existing records


Scenario 1:  Apps With No Records

When setting up the project before any records have been created, set the starting number so the first record created uses a specific number by doing the following:


1. Navigate to the appropriate project and open the Configuration app


2.  Select the app to modify from the list of applications

3.  Select the Number tab and select Override to break inheritance from the parent project
4. Set the Starting Number to the desired value and click Save


5.  Open the appropriate app, click New and note the new numbering of the document



Scenario 2: Apps With Existing Records

If any records have already been created, reset the current number so that the next record created uses a specific number by doing the following:

1.  Navigate to the appropriate project and open the Configuration app

2.  Select the app to modify from the list of applications

3.  Select the Number tab

4.  Select the Change link next to the Current Number attribute

5. Set the value to the desired number as the seed and click Save

6. This becomes the new Current Number

7.  Open the appropriate app, click New and note the new numbering of the document

8.  When creating the next new record, Kahua will add one to the value entered as the Current Number and all subsequent records will be incremented by one
