June 2018 Release Notes

In addition to various performance improvements, user interface updates and error corrections, this release will also include:


Anonymous File Access in File Manager

Users now have the ability to send a link to a File Manager file to any Kahua Contact record, regardless if they have a Kahua account or not.  When accessing the link, the recipient will be directed to a Kahua webpage to either directly download the file or open it in Kahua.

To access this feature, select a file in File Manager and click the Send flyout.  Click “Send Link” and then enter recipients in the pre-defined Message view in the detail pane.  Users can also customize the subject and body of the outgoing message. 


Recipients will receive an email with a link.  Clicking the link will direct the recipient to a webpage where the file can be downloaded or accessed directly in Kahua.  When downloading the file, the downloader will always receive the current version of the file, even if a new version has been added after the link is sent.  If “Open in Kahua” is selected, the recipient must enter their Kahua credentials if not already logged in and then will be navigated to the file in File Manager.  All permissions will be enforced. 




Administrator notes:

  • This feature can be enabled/disabled in the Domain Settings app.  All domains will have this feature enabled by default on release.  Disabling the feature will prevent anonymous file access in all projects.
  • In Configuration for File Manager on each project, the feature can be enabled or disabled.  Additionally, link expiration can be defined in days.  The initial setting is set to zero days, which means the link will not expire.  Entering a value of 1 through 999 will determine the number of days the file will be available for download




Outlook Email Add-in Update

Users can now add emails received in Outlook directly to a Kahua document.  This add-in is supported in the installed Outlook desktop client as well as the Outlook Office 365 web client.

Users with the add-in installed will have the ability to send any email from Outlook into Kahua.  This can be accomplished by clicking the Kahua icon on the desired email.  Once selected, users will be required to enter their Kahua credentials.  (This only needs to be done once per Outlook session.)  Once authenticated, users will be presented with a wizard like interface to determine how the email is added to Kahua.  On Step 1, users can select which Project the email should be associated with, where the email will be stored and the ability the modify the Email Subject to provide clarification.  There are three options to select for where the email will be stored in Kahua:

  • Send To My Messages – this will deliver the email to the Messages app of the user, where further actions can be taken if desired
  • Copy to Communications – this will add the email to the Communications app for the selected project
  • Add to app – this allows the user to add the email as a Referencing Document directly on an existing Kahua record within an app.  Selecting this option requires advancing to Step 2 of the wizard.




Once the choices have been made, the user can select Finish to add the email into Kahua.  If “Add to app” is selected, the user must click “Next”, where additional selections are made.

On Step 2, the user must select the following options:

  • Target Application – this is the app the email will be added to
  • Reference type – If the email is a Supporting, Initiating or Destination document
  • Including the email - 
    • Add email as reference - this will generate a PDF of the email
    • Add attachments as references – this will add each file attachment of the email as unique file records in the selected documents references section
  • The Kahua document it will be added to – this is the existing record in Kahua that the email will be associated with



Notes: 

  • This functionality will be available once the add-in is approved by the Microsoft store.  This can take up to two weeks
  • If you have the current Kahua Outlook add-in, it is recommended that it be uninstalled prior to installing the new add-in.  The existing add-in does not upgrade to the new version.



Locations Updates

Users of the Locations app will see some changes and additions designed to provide broader use of the application and more flexibility in how locations are managed. First, Locations are now managed as a flat list rather than a locked hierarchy. Users can still create parent/child relationships, but the application no longer requires a top/down approach for creating your Locations list. This format change allows for quick, ad-hoc creation of new locations and makes reporting and filtering on locations by type easier. Other features that are part of the new Locations app include:

  • Support for more types of locations including facilities, floors, spaces, and zones
  • New attributes, such as, location classification (i.e., OmniClass codes), location size, and location tags
  • The ability to provide both a structured name (MR101) and a descriptive name (Mechanical Room 1, Floor 1) for a given location



Additional Kahua Host Updates

All Kahua hosts have been updated with various enhancements and bug fixes.  The Windows host will automatically update upon first launch after the release.
