File Manager - Controlled Folder Log Views

The log view of a controlled folder serves as the drawing log for a project.   There are several ways to view the contents of a controlled folder.  You can change which view you are using and which format the files are viewed in.  You can print the contents of the log from any selected view. 


List Format


The list format  provides the details for each of the files that have been added to the folder. The image below shows the Default view. The default view displays all the revisions for all the files and includes their revision status.  




Click the dropdown menu to access additional views. If available to you, click Manage Views to modify an existing view or create a new one.  



The following views are available for Controlled Folders in the standard implementation of Kahua.

  • By Contributing Company - This view organizes documents by the value in the Contributing Company field. That value comes from the Work Package the document is assigned to. Documents without a contributing company will appear in the list, grouped together under the heading of "No Value".  
  • By Discipline - This view organizes documents by the value in the Discipline field. Documents without an assigned discipline will appear in the list, grouped together under the heading of "No Value". 
  • By Work Package - This view organizes documents by the value in the Work Package field. Documents without a work package will appear in the list, grouped together under the heading of "No Value".  
  • Current Revisions - This view shows only the current revisions of all documents in the folder.
  • Default - The Default view shows all the documents in the folder, including each revision for all the documents.
  • In Draft - This view shows all the documents currently in Draft status.
  • In QA Check - This view shows all documents in the QA Check process.
  • Revision Status By Work Package - This view organizes documents by the value in the Work Package field. Documents without an assigned work package will appear and are grouped together under the heading of "No Value".  



Thumbnail Format


The thumbnail format  displays thumbnail images of the files in the selected view. The screenshot below is of the Default View which includes all revisions.



In this view, the status of the documents is indicated by the colored bar at the top of each image.  The number to the right of the bar is the revision number. 


  • Green - The current revision that has been released.  
  •  Yellow - This document is in the pending status.  That means it has not yet been released and has a status of Draft or is in QA Review or in Design Review.
  • Red - This revision has been superseded.



Flat File View (Viewing sub-folder contents)


You can view the contents of the folder you are in and all its sub-folders, by folder type, by selecting a flat file view in the upper right corner of the file manager page. You can view the files in either the list format or the thumbnail format.   When you switch to this view in the list format, the Path column appears, indicating which folder or sub-folder the file belongs to.



Note that when you are in a flat file view, your view options are limited and you are unable to add new files or records.  Switch back to the Current Folder view to access those options.


How to print the drawing log


To print the drawing log as a PDF report or open it in a CSV or MS Excel format, complete the following steps:

  1. From the view dropdown, select the view you want to print. 
  2. Click the Report icon . The report will render.
  3. Click the Download icon  and select one of the options.
