Updated 3/21/2022 - OAUTH Support For Kahua's DocuSign Integration was NOT released on March 19th. Kahua has escalated this to DocuSign for a resolution. We do plan to release this in the near future and will provide updates on when this will be introduced as soon as we have additional details. In the meantime, users can continue to use DocuSign functionality without interruption.
The 2022.2 Release of Kahua will be deployed to our Production environments on March 19, 2022. A preview of this functionality can be accessed at https://earlyaccesslaunch.kahua.com/ beginning on March 5, 2022. Please click here for more information on the Early Access program.
In addition to various performance improvements, user interface updates and error corrections, this release will also include:
Desktop
APPROVAL TASK DELEGATION
Currently, approval tasks in shared task lists are view-only. In our upcoming release, administrators can enable approval task delegation, meaning shared task recipients may act upon approval tasks. Kahua treats the action as if the original recipient performed it when users act upon shared approval tasks. However, the system records the actual person pressing the button as the Delegated Approver.
NOTE: where the approval uses PINs, the system requires the PIN of the delegated approver. Similarly, the approval log records the delegated approver’s e-signature.
To enable Approval Task delegated approvers, turn on the following Domain setting.
Domain Settings/ Domain Defaults:
Shared Approval List – to “David Delegated” for Tim Kent:
Project Limits – Delegated Approver pressed the Approve button:
Document Signatures Log – Delegated Approver pressed the Approve button:
PERMISSION FILTER – NAMED ON DOCUMENT
Kahua is adding a new permission filter in all Document Management apps named “User’s Company is Named on Record”. This permission filter will only provide access to the record if the contact from the current user’s company is selected as a contact in any attribute on that record. For example, in the RFI app, if a contact is named in either the Author or Primary Responder attributes, any user from the same company as the Author/Responder will be permitted to access the record at the assigned permission level.
FILE MANAGER – FILE RENAME LEAVES FILE EXTENSION INTACT
Using the RENAME action to rename a file will now only change the File Name itself. A new RENAME dialog displays the File Extension, but prevents it from being accidentally renamed.
FILE MANAGER – AUTO-ROTATE DRAWING MARKUPS
When using the option to copy Markups from one Version of a document to a newer Version of that document (or from one Revision to the next), Kahua will not auto-detect whether that newer version/revision has a different internal rotation than the previous version/revision, and will auto-rotate any markups so that they are properly displayed. Because Kahua detects these rotations and makes any necessary adjustments automatically, no user interaction is necessary.
FILE MANAGER – OUTPUT FROM COMBINE ACTION NOW RESTRCITED FROM CONTROLLED FOLDERS
When using the COMBINE action to assemble a Drawing Set (or any other set of documents), the Destination Folder is now restricted from being a Controlled Folder. The Destination Folder must now be a standard Files Folder.
DESIGN MANAGEMENT – OPTION TO DOWNLOAD WITH SECONDARY FILES
When using the DOWNLOAD action action in a Controlled Folder (most commonly used for managing Drawings), in addition to the “With/Without Markups” option, there’s now also a “With/Without Secondary Files” option. If the “Without Secondary Files” option is selected, the DOWNLOAD action behaves as it always has up until this point. However, if the “With Secondary Files” option is selected, for each Primary File in the download that also has one or more Secondary Files associated with it, a subfolder will be created in the download (named the same as the Primary File Name) that will contain all associated Secondary Files.
DESIGN MANAGEMENT – NEW REFERENCES SECTION THAT SYNCS FROM DESIGN REVIEW
A new References Section has been added to both:
- All Controlled Documents
- All Documents in a Design Review Set
When a set of Documents are being reviewed with a Design Review, reviewers may upload one or more reference documents for each document being reviewed. When the Design Review is completed, any reference documents will then be automatically copied back to the corresponding document in File Manager.
Note that one or more references documents may also be added directly in File Manager as well, but these would be separate from, and would not be available to the Design Review process.
OAUTH SUPPORT FOR KAHUA’S DOCUSIGN INTEGRATION
As part of DocuSign’s continued commitment to security and reliability, DocuSign is requiring all 3rd party integrations to be upgraded to support OAuth 2.0 authorization by September 2022. In anticipation of this requirement, and to support Kahua’s own commitment to security, Kahua has now updated its own DocuSign integration to support OAuth 2.0.
While this change provides a much stronger level of security for our users, most of what has been implemented will be transparent to Kahua users that use Kahua’s DocuSign integration. However, one change that every Kahua user will experience the next time they use DocuSign will be a new prompt that requires that they accept the new OAuth 2.0 authorization. Once this is accepted, the Kahua’s DocuSign integration will continue to work as it always has.
The first message you’ll receive is this one:
You’ll then need to go to your email or message (see image below) to click a link to DocuSign’s Consent form:
DocuSign’s Consent form will first prompt you to log into your DocuSign account after which you will be presented with the following dialog requesting you ALLOW ACCESS for Kahua to use your DocuSign information in accordance with their respective terms of service and privacy policies.
After consenting to ALLOW ACCESS, Kahua’s DocuSign integration will continue to behave as it always has in the past.
EXTERNAL LINKS
Added application support for including external URL links in a record. External links is a new component that supports one to many links. Users can give individual links a common name to replace the URL displayed on the user interface.
CUSTOM SUPPORT URL
For customers who host their own Kahua support knowledge base page, an admin can configure the user’s help link in My Settings to point their custom Help page. To enable, go to Domain Settings > Domain Defaults and enable Custom Support URL.
EXPANDING SCROLLBARS
On the Windows desktop host, scroll bars have been improved by expanding their width on mouseover to grab more easily.
Kahua Provided Extensions
To continuously improve our best-in-class Kahua provided extensions, we will be updating offerings to include the following features. If your organization has built custom extensions to meet your specific business requirements, it is likely that your extensions can be updated to use some or all of the same functionality.
Kahua for General Contractors, Kahua for Owners, and Kahua for Program Managers
Kahua Cost Management Extensions
ASSOCIATED CONTRACT LINES (ACL) – EXTENDED TO ISSUE ITEMS
Associated Contract Lines allowed change orders to modify the schedule value of existing contract lines on pay requests via change order items. This can simplify the pay request by consolidating similar scope together. For example, if Contract Line 01 is for $150, you can create a change order item to reduce the scope of Contract Line 01 by $20, appearing on the pay request as one item for $130. In 2022, users can move the “use Associated Contract Lines” decision upstream into Issues, allowing for smoother transitions from the issue to the change order.
NOTE: this is not available on Kahua for K-12 issues or expense change orders.
Contract line for $150:
Issue item – Queue Associated Contract Line for $-20:
Roll to Change Order when ready
Update Pay Request Scheduled Value:
FUNDING CONTRACT – UPDATE WITH LATEST EXPENSE CONTRACT FUNCTIONALITY
We continue to enhance the Funding Contract with equivalent functionality from Expense Contracts. Enhancements include:
- Include Late Change Orders onto latest Pay App:
- SOV-Based Contract: Refresh from SOV
- Non-SOV-based contract: Select Change Orders
- Pay App – Grouping and summary of items
- Pay App – Item number change from Auto-sequence to Auto-increment
- No noticeable difference until adding items to the pay app out of sequence.
SCHEDULE OF VALUES (SOV) – AUTO ALLOCATE LINE
A key request for SOV breakdown is the ability to easily show the full contract on the Pay Request, even if the full breakdown for the contract is not yet available. It’s possible to do by calculating the balance manually, but error prone. This behavior was particularly noticeable when using Associated Contract Lines, or when authorizing contingency and allowances over time.
The solution was a lot simpler and more elegant than expected.
Kahua now allows the user to flag one SOV Item per parent item as the Auto Allocate item. When a line item is set to Auto Allocate, it will self-balance to the current committed amount of the parent item.
- When the parent commitment value is adjusted, such as via Associated Contract Lines, the auto-allocate item will update itself to the remaining balance.
- When sibling SOV items are added or edited, the auto-allocate item will also update.
- If the auto-allocate items is set to approved, it appears on the Pay Request with it’s current value for new Pay Requests, or Refresh from SOV pay requests.
- But don’t worry – the amount of the auto-allocate item will never drop below zero. If more allocation is created than can be balanced with the auto-allocation, the system will bark back on save.
Start with Auto Allocate Item set:
Option 1: Authorize more sibling SOV items – auto allocate adjusts to fully allocate:
Option 2: Associated Contract Line adjusts the Committed Amount of the parent item – auto allocate adjusts to fully allocate:
